We are seeking an experienced Assistant Manager to support the delivery of high-quality company secretarial and governance services within a fast-paced fund administration environment. This position plays a key client-facing role and works closely with senior management to ensure seamless service delivery and strong stakeholder relationships.
Key Responsibilities
- Coordinate and document board and shareholder meetings, including minute-taking, drafting resolutions, obtaining approvals, and maintaining records.
- Review and sign off statutory registers and governance documentation.
- Manage entity lifecycle events, including incorporations, liquidations, dissolutions, and partnership formations/terminations.
- Support the onboarding of new structures and clients through the internal acceptance process.
- Maintain regular communication with key client contacts, attend meetings (including on-site visits), and manage day-to-day queries.
- Liaise with clients, advisors, and internal teams on governance, compliance, regulatory and accounting matters.
- Mentor and supervise junior administrators, identifying training needs and development opportunities.
- Ensure tasks are completed accurately, on time, and in accordance with regulatory and internal standards.
Key Requirements
- At least 5 years’ experience within fund administration or corporate governance, ideally in a similar fund CoSec role.
- Good understanding of fund structures, company secretarial practices, regulatory frameworks, and accounting/administration principles.
- Strong client management, communication, presentation, and stakeholder-handling skills.
- Experience supervising or mentoring junior staff is highly desirable.
