A leading manufacturing organisation with global presence is seeking a Sales Administration Manager to lead and strengthen its commercial operations support function. This role oversees end-to-end sales order coordination, reporting, documentation management, and cross-functional collaboration to ensure efficient order execution, operational alignment, and high service standards.

Key Responsibilities

  • Lead the sales administration function to ensure efficient processing and fulfilment of customer orders.
  • Oversee end-to-end order coordination from order intake through delivery and fulfilment.
  • Act as a key liaison between sales, plant operations, warehouse, supply chain, finance, and customers.
  • Coordinate closely with the plant on production readiness, delivery timelines, and order priorities.
  • Implement order tracking processes to ensure visibility of order status for internal teams and customers.
  • Prepare and analyse sales performance reports, trends, and operational data to support management decisions.
  • Manage commercial documentation including contracts, shipping documents, and customer records.
  • Oversee regulatory and trade-related applications including MITI submissions and related documentation.
  • Ensure accurate coordination of shipping documentation, insurance matters, and claims where required.
  • Maintain strong service standards in handling customer enquiries, order updates, and operational issues.
  • Lead and develop the sales administration team while strengthening operational workflows and procedures.
  • Drive continuous improvement initiatives to enhance efficiency, data accuracy, and internal controls.
  • Ensure proper governance and effective utilisation of ERP, CRM, and other business systems.

Key Requirements

  • Degree in Business Management, Business Administration, International Business, or related field.
  • 6–8 years of experience in sales operations, international trade, or supply chain functions, with at least 3 years in a leadership role.
  • Experience within aluminium, steel, or heavy manufacturing industries would be advantageous.
  • Strong organisational, coordination, and stakeholder management capabilities.
  • Proficiency in Microsoft Office and familiarity with ERP/CRM systems.
  • Strong communication skills in English and Bahasa Malaysia; Mandarin is an advantage.
  • Ability to manage multiple priorities in a fast-paced operational environment.
